Senior Admin Executive (Part-Time)

Explore-Share, an online booking platform for guided adventures around the world, is looking for a Senior Admin Executive (Part-Time) to join its team in Buenos Aires. The platform lists more than 13,000 outdoor trips in more than 80 countries, all of them led by over 2,000 local certified guides. Our team is based all over the world, mainly in Buenos Aires and Brussels.

At Explore-Share we believe outdoor adventures enrich people’s lives and that experienced, local guides help make these experiences unique.

We are currently looking for a Senior Admin Executive who will be responsible for a wide array of tasks, including streamlining current admin processes, selecting new technological tools and carrying out routine procedures (like paying salaries, making international payments to guides, processing refunds, etc.). We use several international payment systems and you must be able to learn to use them fast.

Work is mostly done remotely but you will have to come to our office in Buenos Aires once a week for meetings and to get to know the rest of the team (when the confinement is over). Work is paid by the hour and you can expect to work around 4-6 hours per day.

Languages: An excellent English level is mandatory. Written French is a plus.

Experience: At least 3 years of experience (in the tasks listed below) in a private company.

Tasks you will be in charge of:

  • Payment
    • Payments to providers.
    • Payments to the team.
    • Keep our inner control files updated.
    • Help the team on issues related to their payments, accounts, transfers, etc.
    • Support to our clients, about doubts related to our management or payments.
  • Billing
    • Make invoices and credit notes.
    • Accounts receivable: Track outstanding accounts/balances with guides and try to collect them as soon as possible.
    • Keep updated the database of suppliers, bank accounts and tax information.
  • Administration
    • Provide administrative support to sales (refunds, additional charges, etc.)
    • Administration of Buenos Aires Office: Management and control of cash funds, rent payment, purchases for office and equipment, etc.
    • Support in the writing of team contracts
    • Company accounting: keep our inner accounting control, search and organize information.
  • Additional
    • Banking Management (BNP, Transferwise, etc.).
    • Maintain and follow internal control processes and propose new ones more efficient or automatic.
    • Provide support to the IT team to improve the platform related to admin processes.
    • Preparation of financial reports: Support Co-Founder to detect potential improvements or deviations, within the company.
